# ASPIXR > ASPIXR is the AI-powered hotel system. One system runs your front desk, housekeeping, channels, pricing, guest messages and finance. The AI does the work, inside rules you set. Published by WOLODGE Global Holdings LLC. ASPIXR is one system for a whole hotel. It has eighteen modules that share the same bookings, rooms, guests and money, so nothing is typed twice. The AI works inside the system. It proposes. You approve. Some jobs you can let it do alone, inside limits you set. Every action is logged, so you can always see what was done and why. It is for independent hotels, small groups, management companies and hotels with several owners. Website: https://www.aspixr.com Sign in: https://dashboard.aspixr.com ## The AI The AI inside ASPIXR runs 47 workflows across 8 hotel departments, each with its own switch; 8 of them can be set to AI Auto. It can prepare 95 kinds of change for a person's yes and understands 57 areas of the console. It answers guests on Booking.com, Expedia and Airbnb once switched on; WhatsApp is a pilot. It never moves money: a finance approval is always a person's. - [The AI](https://www.aspixr.com/ai): Ask your hotel anything, one day at one hotel, and the Off / Suggest / AI Auto switch. ## The eighteen modules, in full A line marked (beta), (pilot) or (planned) is not fully live today. Lines the site shows on the founder's decision but that are not yet built are left out of this file. ### 01 Front desk Page: https://www.aspixr.com/product/front-desk Check guests in faster, chase no-shows before they cost you a room, and close the night with the night audit already prepared. What it does: - Checks guests in faster. Guests can register on their phone before they arrive. Walk-ins are booked and paid in one go, and card payments are taken at the desk. - Keeps the folio right. Charges post to the guest's folio. Change the dates or the room and the stay is priced again. A room block on the calendar also closes that room on your booking sites. - Closes the night. Closes each day with a guided night audit; on Autopilot and Portfolio the checklist is prepared for you. It never approves anything silently, and a hard block always needs a person. - Breakfast and meal plans. Each rate plan carries a meal plan, from room only to all inclusive. Staff tick off who ate on the Operations app, and extras above the entitlement post to the folio. The AI here: - Answers guest messages on Booking.com, Expedia and Airbnb once you switch it on, or drafts the reply for you to send: your call. - Prepares each arrival: sends the registration link on self check-in hotels, flags a missing ID and suggests the chase, and shows which rooms are not ready yet. - Prepares the night audit for your signature on Autopilot and Portfolio, and flags what does not add up. - Flags unpaid arrivals and likely no-shows and suggests the next step, so you act before the night is lost. - You check guests in and out, sign the night audit and approve anything that touches money. Questions: Q: Will my check-ins really get faster? A: Yes. Guests can register on their phone before they arrive, walk-ins are booked and paid in one go, and the AI prepares each arrival so the desk starts from a ready stay instead of a blank form. See a check-in on your own rooms in a 30-minute demo. Q: Can I bring my bookings over from my current system? A: Yes: existing reservations come in through the channel manager or from a CSV or Excel file, and importing again never creates a duplicate stay. Guided set-up is free in every plan, so a hotel can be running fast. Book a demo and bring an export from your current system. Q: Does my front desk need training? A: Desk staff work from the browser or the Android app in plain words, and their home screen lists arrivals, departures, payment blockers and rooms not ready. The AI prepares the routine work and a person approves anything that moves money. Book a demo and hand your night clerk the phone. Q: Does the AI check anyone in or out by itself? A: No: check-in and check-out are always a person's, and a person signs the night audit. The AI prepares the arrival, the checklist and the flags, and nothing that touches money is approved silently. Book a demo and we show you where each approval sits. Q: Which plan and what does it cost? A: Front desk is in every plan, starting with Essentials, priced per room. The night audit assistant comes with Autopilot and Portfolio. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 02 Housekeeping Page: https://www.aspixr.com/product/housekeeping Rooms ready sooner: a cleaning job opens at every check-out, one board shows each room's status, and rush jobs reach your team's phones. What it does: - Room status, at a glance. A floor-by-floor board shows each room as clean, dirty, inspected or don't knock. Your team taps a room to change its status. - A cleaning job from every check-out. Every check-out opens a cleaning job by itself. Rush and re-clean jobs are pushed to staff phones. - Inspections and laundry, tracked. An inspections board shows what still needs a check, and a failed inspection opens a maintenance job. Laundry is tracked from pickup to return. The AI here: - Drafts the morning cleaning plan from the backlog, out-of-order rooms and maintenance jobs. Your team decides what to run. - Opens a maintenance job by itself when a room fails inspection. You can switch that off. - Runs the everyday work, from check-out jobs to rush alerts, on plain rules rather than AI. - You decide the morning plan, which rooms are out of order, and how a complaint is handled. Questions: Q: Will my rooms really be ready sooner? A: Yes: every check-out opens a cleaning job by itself, the board shows each room's status as soon as your team taps it, and rush and re-clean jobs reach staff phones. See it on your own floors in a demo. Q: We run housekeeping on paper today. How hard is the move? A: You set up your rooms and floors once, and guided set-up is free in every plan. The board is then ready for your team to tap. Book a demo and bring your room list. Q: Do my housekeepers need training? A: They open the room board in the browser on any phone, or in the Android app for staff, and tap a room to change its status. The AI drafts the morning plan, and your team decides what to run. Book a demo and hand a floor supervisor the phone. Q: What if the AI's plan is wrong, or a room is not ready? A: The plan is a suggestion and your team decides what to run; the one thing the AI does by itself is open a maintenance job when a room fails inspection, and you can switch that off. Dirty rooms still sell on your booking sites, and only an out-of-order room comes off sale. Book a demo and we show you the switch. Q: Which plan is housekeeping in, and what does it cost? A: Housekeeping is in every plan, starting with Essentials, priced per room. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 03 Maintenance Page: https://www.aspixr.com/product/maintenance Every repair reported, fixed and checked in one flow, costly jobs held for your approval, and purchasing and vendors in the same place. What it does: - Every repair, start to finish. Every work order follows the same steps: report, decide, fix, verify, book. Front desk staff can report a problem from their own screen. - Costly jobs held for your yes. Each hotel has its own approval limits. A job above the limit is held until someone approves it. - Purchasing and stock, on the record. A purchase goes from draft to submitted, approved and sent. Staff confirm deliveries on the Operations app, and every stock change is a recorded movement. - Vendors in their own portal. Invite a vendor with a login email. In the vendor portal they see their jobs, invoices and payments. Not fully live today: - (planned) An operations portal is planned for Portfolio. It is still an internal ASPIXR tool and is not open to hotels. Questions: Q: Will this help me keep track of repairs and spend? A: Yes: every repair is one work order that moves through report, decide, fix, verify and book, costly jobs above your limit are held for approval, and a failed room inspection opens its own follow-up. See it on your own hotel in a demo. Q: How hard is it to move my repairs off phone calls and notebooks? A: You set your approval limits and add your vendors, and guided set-up is free in every plan. Front desk staff can then report a problem from their own screen, and the vendors you invite get their own login. Book a demo and bring your vendor list. Q: Do my engineers and vendors need training? A: Staff work in the browser on any computer, tablet or phone, and confirm deliveries on ASPIXR Operations, the Android app for staff. Vendors you invite see their own jobs, invoices and payments in the vendor portal. Book a demo and hand your chief engineer the screen. Q: What if the system opens or suggests the wrong job? A: A failed room inspection opens a follow-up job by itself, and you can switch that off; any suggestion that maintenance may be coming due is only a suggestion, and it does not read sensors. A job above your approval limit is held until a person approves it. Book a demo and we show you the switch. Q: Which plan has maintenance and purchasing, and what does it cost? A: Maintenance and purchasing are in every plan, starting with Essentials, priced per room. Procurement governance and the vendor portal come with Portfolio. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 04 Channel manager Page: https://www.aspixr.com/product/channel-manager Connect 75+ booking channels, from the global names to the regional ones your market books on, and keep one calendar, one rate and one list of bookings. What it does: - Sells your rooms on every channel you connect. Your rooms and rates go out to every channel you connect, and a slow channel is tried again. Bookings from every site land in one reservation list, and the same booking is never entered twice. - One calendar behind every site. Every booking lands in one list and your availability goes out to every channel you connect; an out-of-order room comes off sale on them all, and an oversell raises an alert. - Warns before it costs you. An oversell or a failed booking message raises an alert. A parity watch points out prices that do not match across sites, and only suggests: it changes nothing. Channels: 75+ booking channels across Global OTAs, Asia, Europe, Americas, Australia & New Zealand, Middle East, Outdoor & rentals, Wholesalers & B2B, Metasearch & distribution. Questions: Q: Will more channels mean overbookings? A: Not with one calendar behind every channel: a booking on one site updates your availability on the rest, and an oversell or a failed booking message raises an alert so your team acts first. See it on your own channels in a demo. Q: I already have a channel manager. Can I switch? A: Yes. You connect the channels you already sell on, and their bookings land in the one reservation list and are never entered twice. Book a demo and bring your current channel list. Q: Does my team need training to run it? A: No: staff open it in the browser on any computer, tablet or phone, and every booking from every site arrives in the one reservation list the desk already works from. Prices and availability go out without anyone retyping them on each site, and a no-show is still reported on the booking site's own tools. Book a demo and hand your reservations lead the screen. Q: What happens when a site goes down? A: Your price and availability updates are tried again, and a failed booking message raises an alert so your team sees it. ASPIXR stays the master list, and the parity watch only suggests prices: it never changes one. Book a demo and we show you where the alerts land. Q: Is there a fee per channel? A: No. There is no cap on channels and no fee per channel; the channel manager is in every plan, starting with Essentials, priced per room. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 05 Booking engine and website Page: https://www.aspixr.com/product/booking-engine Direct bookings without the booking-site commission: your own booking website, hosted by ASPIXR, where guests book and pay by card. What it does: - Guests book direct and pay by card. A booking made on your own website does not come through a booking site, so no booking-site commission applies. Each direct booking is recorded as prepaid. - Your look, ready to preview. Pick city hotel, photo showcase or quick book, then add your logo, one brand colour, a gallery and room photos. Preview the site before guests do; publishing opens once card payments are ready. - Unfinished bookings followed up. A guest who leaves a booking unfinished gets a reminder email, and the booking funnel shows recent attempts before a reservation is confirmed. Questions: Q: Will direct bookings really save me commission? A: Yes: a booking made on your own website does not come through a booking site, so no booking-site commission applies. Card payments carry card fees and a small platform fee, shown on the plans page. See your own booking page in a demo. Q: I already have a booking engine. How hard is the move? A: You pick one of three designs, add your logo, one brand colour and your room photos, and choose which rate plans guests can book. Guided set-up is free in every plan. Book a demo and we walk you through the preview and the publish step. Q: Does my team need training, and who builds the site? A: You build it yourself in the browser on any computer, tablet or phone: pick a design and add your logo, a brand colour, a gallery and room photos. Direct bookings arrive in the front desk reservations your team already uses. Book a demo and hand your front desk the screen. Q: Can I check the site before guests see it? A: Yes: preview it first, and only the rate plans you allow are shown to guests. Publishing opens once card payments are ready, and the booking engine has no AI part. Book a demo and we show you the preview. Q: Which plan has the booking website, and what does it cost? A: The booking engine and website are in every plan, starting with Essentials, priced per room. Card payments carry card fees and a small platform fee, shown on the plans page. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 06 Sales and events Page: https://www.aspixr.com/product/sales-and-events Turn event and group enquiries into booked business: quote, confirm and hand the work to your team. Group rooms become real stays when picked up. What it does: - A quote and a contract you can print. Create an event quote, add catering from a package for the headcount, and print the quote, contract, BEO and invoice as branded, printable pages. - Confirmed with a deposit check. Confirming asks whether the deposit has been received. ASPIXR records the answer and takes no event money. Confirming creates the BEO, the contract and the event tasks. - Group rooms, picked up. Add named guests to a group, up to fifty at a time, and their rooms become confirmed stays. A group block is a plan: it does not hold rooms. The AI here: - Reads your events and groups, and drafts an event quote or a group block. You confirm each one. - Can move an event to confirmed, invoiced or closed on a confirm card. Confirming still needs the deposit answer. - You confirm every quote, block and status change the assistant prepares, and you answer the deposit question yourself. Not fully live today: - (beta) Set up function rooms, catering packages and group room blocks from the screen. Questions: Q: Will it save my sales team time on events and groups? A: Yes: one event record produces the quote, contract, BEO and invoice as printable pages, and confirming creates the event tasks for your team. Group guests are added up to fifty at a time and their rooms become confirmed stays. See an event quoted from start to finish in a demo. Q: How hard is it to move my events and groups over from spreadsheets? A: Our team sets up your function rooms and catering packages with you. After that your sales team quotes, confirms and prints from the screen, and adds group guests by name. Book a demo and bring a recent event quote. Q: Do my staff need training, and does the AI replace my sales team? A: Your sales team works in the browser on any computer, tablet or phone, and the people running an event get task cards on ASPIXR Operations, the Android app for staff. The assistant drafts quotes and blocks for you to confirm; it does not confirm an event on its own. Book a demo and hand your events manager the screen. Q: What if I block rooms for a group and the booking sites sell them? A: A group block is a plan, not a reservation: your website, the booking sites and the desk can still sell those nights until each room is picked up. Only a picked-up room is reserved, and ASPIXR records the deposit answer but takes no event money. Book a demo and we show you a block with its pickup. Q: Which plan has sales and events, and what does it cost? A: Sales and events comes with Autopilot and Portfolio, priced per room. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 07 Rates and AI pricing Page: https://www.aspixr.com/product/rates-and-ai-pricing One price grid for every room and night; the AI reads demand and proposes each night's price inside your floor and ceiling, and a person approves, or you switch a hotel to AI Auto. Hotels that switch from fixed rates to demand-based pricing report 15–30% more room revenue. (Illustrative industry figure, not an ASPIXR result; HotelTechReport, "Hotel Pricing in 2025" (sponsored report, read 2026-10-11): "Hotels gain 15–30% more revenue with dynamic pricing") The AI here: - Reads demand, events and pace and proposes the night's price, with the reason in one line. - You set the floor and ceiling per room type, choose Suggest or AI Auto per hotel, and can lock or type over any single night. Not fully live today: - (beta) Nightly AI pricing has an off switch for the whole company and one for each hotel. Questions: Q: I price by hand today. How hard is the switch? A: A short set-up. Your room types and current rates load into the price grid, you set a floor and ceiling per room type, and the AI starts proposing from the next night. Book a demo and we walk through the setup on your own room types. Q: Do I need a revenue manager to run it? A: No: the AI does the daily reading a revenue manager would, pace, events and demand, and proposes the price with the reason in one line, in plain words. Book a demo and bring your busiest month. Q: Which plan has AI pricing and what does it cost? A: The price grid and rate plans are in every plan. AI pricing starts from Autopilot, priced per room with no fee per channel. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 08 Guest inbox and AI concierge Page: https://www.aspixr.com/product/guest-inbox Guest messages in one inbox for your staff; the AI replies on Booking.com, Expedia and Airbnb once the hotel switches it on, and a staff reply pauses it. What it does: - All guest messages in one place. Your staff read and answer guest messages inside ASPIXR, in the Guest messages hub, and the front desk has its own inboxes. - Answers booking-site guests. On Booking.com, Expedia and Airbnb the AI reads each message and sends the reply itself, in the guest's language, once you switch it on for the hotel. It offers no refunds or compensation. - Steps back for your staff. When a person replies, the AI pauses on that conversation. You can also pause it yourself, one conversation at a time. The AI here: - On Booking.com, Expedia and Airbnb it writes and sends replies by itself once you switch it on for the hotel. - It leaves a message that is only a photo or a file to your staff. - You decide whether the AI is on, hotel by hotel, and any reply you send yourself pauses it on that conversation. Not fully live today: - (pilot) The WhatsApp guest agent runs for a few hotels with a person watching. It is not offered at unattended scale. - (pilot) The WhatsApp guest agent is in every plan. The booking-site inbox with AI replies is in Autopilot and Portfolio and an add-on for Essentials. This is the commercial offer; the product does not enforce plans yet. - (pilot) On WhatsApp, the online check-in invite goes out only where the hotel's WhatsApp line is connected. Questions: Q: Will this get my guests answered faster? A: On Booking.com, Expedia and Airbnb, once you switch the AI on it reads each message and sends the reply itself, so a message does not sit until the desk is free. Your staff keep the conversations that need a person, and their reply pauses the AI on that thread. See it on your own messages in a 30-minute demo. Q: How hard is it to move my guest messaging over? A: Booking-site messages arrive through your channel connection, so once your sites are connected they land in the inbox without any forwarding. Guided set-up is free in every plan. Book a demo and bring your busiest booking site. Q: Does the AI replace my front desk? A: No: your staff can read any conversation in the hub and answer in their own words, and their reply pauses the AI on that thread. A message that is only a photo or a file is left to them. Book a demo and bring your trickiest guest message. Q: What if the AI says the wrong thing to a guest? A: Replies on the booking sites go out by themselves once the AI is on and there is no hold queue, so the control is the switch: it is off until you turn it on, hotel by hotel, and you can pause it on any conversation. It does not offer refunds or compensation. Book a demo and we show you the controls. Q: Which plan has the guest inbox, and what does it cost? A: The booking-site inbox with AI replies comes with Autopilot and Portfolio, and is an add-on on Essentials. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 09 Self check-in and kiosk Page: https://www.aspixr.com/product/self-check-in Guests check in on their own phone from one hotel QR code, with their ID checked before they arrive. A lobby kiosk on a tablet you already own is optional. What it does: - One QR for every arrival. One hotel QR code opens a guest page on the guest's own phone. It is the default way to arrive, and there is nothing to buy. - Paperwork done before they arrive. The check-in invite and its reminders go out by themselves. Guests send their details and ID ahead of time, and the ID check rejects blurry photos and photos with no face. - A kiosk on your own tablet. Kiosk mode runs on any tablet you own. Guests with a booking check in, and walk-ins book, pay and stay. Questions: Q: Will self check-in take the pressure off my front desk? A: Yes: guests send their details and ID before they arrive, the invite and its reminders go out by themselves, and the ID check rejects blurry photos and photos with no face. Your desk steps in for the guests who need a person. See a phone check-in on your own hotel in a demo. Q: I check guests in at the desk today. How hard is the move? A: You set it up from the console on a computer: guests scan one hotel QR code with their own phone, and a kiosk, if you want one, runs on a tablet you already own. Guided set-up is free in every plan. Book a demo and we set up a check-in with you. Q: Does the AI check guests in, and does my team need training? A: No AI performs the check-in: the guest does it on their own phone or at the kiosk, or your staff do it from the browser on any computer, tablet or phone. The AI only chases missing IDs, and an ID that does not match is flagged for your staff, not turned away. Book a demo and hand your night clerk the phone. Q: What if an ID does not match, or a guest has no phone? A: A mismatch is a flag for your staff, and the system does not turn the guest away. A guest without a phone checks in at the kiosk or with your staff, and door codes go to the guest by message, never on the kiosk screen. Book a demo and we show you what your staff see. Q: Which plan has self check-in, and what does it cost? A: Self check-in comes with Autopilot and Portfolio, priced per room; smart locks are an add-on on any plan and ID checks are charged per check. See the plans page for the prices and your room count, or ask for a demo and we price it for your hotel. ### 10 Guest CRM and campaigns Page: https://www.aspixr.com/product/guest-crm-and-campaigns Know your guests and bring them back: a file at each hotel, a thank-you after check-out, welcome-back emails, and campaigns to guests who agreed to marketing. What it does: - A file on each guest, at each hotel. Each hotel keeps its own guest files: stays, contact and consent, tags and guest tiers. Duplicates are found by a scan and merged after a person approves. - Thank-yous that send themselves. A thank-you goes out after check-out, welcome-back emails on day 30 and day 60 to guests who agreed to marketing, and a reminder when a website booking is left unfinished. - Campaigns and journeys. Group guests into segments, see how many a campaign reaches, and send it once it is approved, or set up a journey that emails guests before check-in or after check-out. - Company deals, tracked. Track companies and deals from lead to won, and draft a quote into Finance from a deal. Corporate rate codes are recorded for reference; bookings do not apply them automatically. The AI here: - Suggests tags from the concierge and WhatsApp notes you paste into a guest file. You apply or dismiss each one. - Lists lapsed guests to win back, and drafts a campaign when occupancy looks low. You approve the send. - You approve every campaign and journey before it sends, and only guests who agreed to marketing get a campaign, a journey or a welcome-back email. Questions: Q: Will this help me bring guests back? A: That is what it is built for: it keeps a file on each guest and emails them for you, with a thank-you after check-out, welcome-back emails on day 30 and day 60 to guests who agreed to marketing, and campaigns to the groups you choose. See a guest file and a campaign on your own stays in a demo. Q: How hard is it to move my guest records over? A: Each guest file lists the stays at that hotel, and a duplicate scan finds repeat guests and merges them after a person approves. Guided set-up is free in every plan. Book a demo and we show you how your stays become guest files. Q: Do I need a marketer to run it? A: Not for the routine: the thank-you, the welcome-back emails and the unfinished-booking reminder go out on their own, and the AI suggests who to win back and drafts a campaign when occupancy looks low. Your team approves each campaign and journey before it sends. Book a demo and bring your slowest month. Q: Who gets my emails, and can I stop a send? A: A campaign goes out only when you press Send, it skips guests with no email, no marketing consent or an unsubscribe, and sending can be stopped. Journeys and welcome-back emails reach only guests who agreed to marketing, each with an unsubscribe link. Book a demo and we show you the send counts. Q: Which plan has the guest CRM, and what does it cost? A: Guest CRM and guest journeys come with Autopilot and Portfolio, priced per room. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 11 Reviews Page: https://www.aspixr.com/product/reviews-and-marketing Every review from Booking.com, Expedia and Airbnb in one place, a reply in the guest's language posted once you switch it on, and an alert when a bad one lands. What it does: - One inbox for every site. Reviews from Booking.com, Expedia and Airbnb come into one screen, with a panel for your scores, so you stop checking three separate extranets. - Replies in the reviewer's language. Switch review replies on and the AI writes each reply, up to 120 words, in the language of the review, and posts it for you. Edit a posted reply and send it again whenever you like. - Catches the bad ones fast. A review of three stars or less raises an alert, so you hear about a bad score first. A crisis pause is built in. The AI here: - Once you switch review replies on, it writes each reply in the reviewer's language, up to 120 words, and posts it by itself on Booking.com, Expedia and Airbnb. - It never offers a refund or compensation in a reply. - Editing a posted reply and sending it again uses AI credits again. - You decide whether review replies are on, and when to edit a posted reply and send it again. Questions: Q: Will answering every review bring me more bookings? A: Guests read the reviews, and your replies, before they book, and a reply on every review shows the next guest that someone is looking after the hotel. Once you switch replies on, the AI answers the reviews that come in on Booking.com, Expedia and Airbnb, in the reviewer's language. See your own reviews answered in a 30-minute demo. Q: How do I bring my reviews over? A: There is nothing to import: reviews arrive through the same channel connection that carries your bookings, so once your sites are connected they appear in one place. Reviews more than about a month old when you first connect are skipped. Book a demo and we connect yours. Q: Does someone on my team have to write the replies? A: No one writes them by hand: once replies are switched on, the AI writes and posts each one, up to 120 words, with no refund or compensation offers. Staff can edit a posted reply and send it again, which uses AI credits. Book a demo and bring your last ten reviews. Q: Will it post a reply without me? A: Only if you switch review replies on: leave them off and nothing is posted. Once on, the AI writes and posts each reply itself, a crisis pause is built in, and you can edit any posted reply and send it again. Book a demo and we show you the switch. Q: Which plan has review replies and what does it cost? A: Reviews with AI replies start from Autopilot, priced per room with no fee per channel. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 12 Marketing studio Page: https://www.aspixr.com/product/marketing-studio ASPIXR's photo engine retouches real hotel photos and keeps the originals, under one fixed rule: it never invents a view, a pool or a room you do not have; no hotel can use the studio today. The AI here: - The studio never invents a view, a pool or a room you do not have. ### 13 Finance Page: https://www.aspixr.com/product/finance See what your hotel earns, spends and owes, and close each month from one place. ASPIXR records your money; it does not move it. What it does: - Quotes, invoices and bills, in one place. Write quotes and invoices. Record expenses, vendor bills, recurring bills and utilities. Receipts are read from a photo, and a person confirms before anything is posted. - Cash, kept straight. Petty cash, shift cash, guest money, deposits held and the city ledger each have their own record, and a morning flash shows the day. - A month that closes in steps. A step-by-step month close, with a budget, tax rates and a tax report. Groups get one profit and loss across hotels. - Supplier payment runs. A supplier payment run builds the pay list and downloads as a CSV for your bank. A person makes the payment; ASPIXR records it and does not send the money. The AI here: - Flags expenses that look unusual, such as a possible duplicate or a high amount. It only flags. - Reads an invoice and suggests the codes. It only suggests. - Every approval in the queue is yours; the AI never gives a finance approval, at any setting. Not fully live today: - (planned) Company-level finance and approval rules are planned for Portfolio. They are not open to hotels yet. Questions: Q: Will this save me hours at month end? A: It is built for that: receipts are read from a photo, expenses and supplier bills are recorded in one place, and a step-by-step month close takes you through the month in order. Your accountant gets the month as a downloaded pack. See a month closed on your own numbers in a demo. Q: How hard is it to move my books over? A: Bring in bank files as CSV or Excel, and your accountant gets the month as a downloaded pack; there is no direct link to accounting software. Guided set-up is free in every plan. Book a demo and bring last month's bank file. Q: Does the AI replace my finance team or my accountant? A: No: the AI flags unusual expenses and suggests codes on invoices, and your finance team records and approves. They work in the browser on any computer, tablet or phone. Book a demo and hand your bookkeeper last month's receipts. Q: Can the AI approve a bill or move my money? A: No: a finance approval is never done by the AI, at any setting, and ASPIXR records your money; it does not send it. A supplier payment run builds the pay list, and a person pays from the bank. Book a demo and we show you the approval queue. Q: Which plan has finance, and what does it cost? A: Quotes, invoices, expenses and petty cash come with Autopilot and Portfolio, priced per room; month close and the group profit and loss come with Portfolio. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 14 Reports and insights Page: https://www.aspixr.com/product/reports-and-insights Start each morning knowing what was sold, what it cost and what the hotel made, then close the month with a pack your accountant can use. What it does: - Last night, on one screen. Last night's rooms, occupancy, cash taken and today's arrivals, on one screen for the morning meeting. - What the hotel made, for the month. Rooms revenue, department profit and gross operating profit for the month, with owner lines below it and month targets beside it. - Sales by channel and room type. Ops & sales shows bookings, sold, paid, outstanding and channel commission for any dates, by channel and by room type. The Ops cockpit tracks housekeeping, laundry, maintenance and stock. - A pack for your accountant. Download the month as a CSV for your accountant: profit by account code, unpaid bills, unpaid invoices and owner figures. Groups see profit across their hotels, read-only. The AI here: - Answers questions about the month from the same Hotel profit and owner figures your finance team sees. - Prepares a daily briefing, and flags a hotel in your group whose numbers look out of line. It only flags. - You decide who on your team may see profit: only the people you give finance access to. Not fully live today: - (planned) An owner view with occupancy, ADR and RevPAR is planned. It is not built today. Questions: Q: Will I know how my hotel is doing without chasing someone for a report? A: Yes: the morning flash shows last night's rooms, occupancy, cash taken and today's arrivals on one screen, Hotel profit shows the month, and a weekly operations email to your organisation admins is built to send every Monday morning. See your own month in a demo. Q: Do I have to rebuild my reports when I move? A: No: Ops & sales reads the stays recorded at your front desk and Hotel profit is built from your hotel books, so the reports fill as your team works. Reservations come over through the channel manager or a CSV or Excel file, and guided set-up is free in every plan. Book a demo and bring last month's numbers. Q: Does my team need training to read the reports? A: The reports open in the browser on any computer, tablet or phone, and the assistant answers questions about the month from the same Hotel profit and owner figures your finance team sees. A daily briefing and a group watch only flag; they change nothing. Book a demo and ask it your own question. Q: Who on my team can see profit? A: Hotel profit, the morning flash, the accountant pack and Group hotels are only for people you give finance access to, and staff do not get it by default. Ops & sales (sold, paid, outstanding, net, expense log) is open to everyone with access to the hotel; it needs no finance access. Book a demo and we show you who sees what. Q: Which plan has reports, and what does it cost? A: Reports and insights come with Autopilot and Portfolio, and the group view across hotels comes with Portfolio, priced per room. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 15 Owner portal Page: https://www.aspixr.com/product/owner-portal Give each owner their own statements, payouts and documents in one private place, and let them approve and sign there too. What it does: - Their numbers, whenever they look. Owners open their own statements, payouts and sales reports. Several owners in one building can share pool payouts. - Approve and sign in the portal. Owners approve what you send them, like a renovation quote. They sign agreements with a one-time code. - Documents and messages in one place. Owners see their properties, units, personal use, maintenance and documents. They can message you from the portal. - One email to every owner. In a building with several owners, email every owner or one room-type pool from a template. The sender is your hotel group's name. The AI here: - An optional owner assistant can draft a plain-words note for a statement. It only suggests. - It can draft answers to payout questions. It only suggests. - You decide whether to switch the owner assistant on, and every approval an owner sends you is yours to act on. Not fully live today: - (planned) An Android owner app is coming. It is not in the store yet. Questions: Q: Will it stop owners calling me for their numbers? A: Owners find their own statements, payouts, sales reports and documents in their private portal, so they can look before they ask, and they can message you from it. See an owner's view in a demo. Q: How hard is it to bring my owners over? A: Owners need nothing installed: they open the portal in the browser on any computer, tablet or phone. Owner finance covers statements, multi-owner pool payouts, operating-model templates and settlements, set up beside your hotel finance. Book a demo and bring one owner's current statement. Q: Do my owners need training, and does the AI talk to them? A: Owners open statements, payouts and documents in the browser, and approve or sign with a one-time code. The owner assistant is optional and drafts a note or an answer for you; it only suggests, so you decide what an owner reads. Book a demo and see the owner's side. Q: Can an owner change anything in my hotel? A: No: the portal is read-only for owners, apart from approving what you send them and signing agreements. Sign-in has strong security, and each owner sees their own statements, payouts and documents. Book a demo and we show you what an owner sees. Q: Which plan has the owner portal, and what does it cost? A: The owner portal and owner finance come with Portfolio, priced per room. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 16 HR and payroll Page: https://www.aspixr.com/product/hr-and-payroll Staff accounts, roster, attendance, leave and staff claims in one system; the payroll screens are built, and a real run needs an accountant-verified rule pack. What it does: - Your whole team in one place. Staff accounts, the staff directory, the roster, clock-ins and attendance review, and leave, with staff claims submitted on the Operations app and approved in your finance pages. - Service charge and advances, handled. Share the service charge by points, equal shares or grade. Track advances and loans from request to hand-over, and see what is still owed. Not fully live today: - (beta) The payroll screens are built: People & payroll setup, a draft run, approval, then a bank file and statutory files from the approved run. - (beta) A real payroll run needs a statutory rule pack that an accountant has verified. The first rule pack is a draft. - (beta) Approving a payroll run produces the figures and the bank file; ASPIXR does not move the money. The month locks, and corrections go to a later month. - (beta) Payroll is sold in Portfolio on statutory rule packs. This is the commercial offer; plans do not gate anything in the product yet. Questions: Q: How hard is it to move my staff list and rosters over? A: Add your staff to the directory and copy this week's roster across, and you are running soon after. Guided set-up is free in every plan. Book a demo and bring your current roster. Q: Do my staff need training? A: Staff submit claims with a shop receipt on ASPIXR Operations, the Android app for staff, and it opens in the browser on any phone. Managers build the roster and review attendance on screen, and no AI is involved in attendance, because it can affect pay. See your own team in a 30-minute demo. Q: Which plan has HR and payroll, and what does it cost? A: HR and payroll are in Portfolio, priced per room, with no second HR or payroll subscription. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 17 Rewards Page: https://www.aspixr.com/product/rewards Guests earn points on checked-out stays and staff can search members and their history; guests signing in and spending points is not available to hotels today. What it does: - Members you can see. Staff search every member, see their full point history, and import members in bulk from a CSV file. - Two people for big awards. Above the threshold you set, a manual award needs a second person to approve it, and that person can never be the one who asked. Questions: Q: How do I start with the guests I already have? A: Import your current members from a CSV file with an opening balance for each, and your past guests start with their points. Guided set-up is free in every plan. Book a demo and bring your member list. Q: Do my staff need training to run it? A: Staff search a member, read the point history and give an award by hand with a reason, in the browser on any computer or phone. Points are added by the system when a stay checks out, so staff do not key them in. Book a demo and we show you a front desk shift. Q: Can staff hand out points freely? A: You set the earning rate for each channel, and above the threshold you set a manual award needs a second person to approve it, never the person who asked. Every manual award or deduction records a reason. Book a demo and we show you the approval step. Q: Which plan has Rewards, and what does it cost? A: Rewards for your hotel comes with Autopilot and Portfolio, priced per room, and it is not an add-on. See the plans page for your room count, or ask for a demo and we price it for your hotel. ### 18 API and MCP Page: https://www.aspixr.com/product/api-and-mcp An outside AI or your own system can read bookings, rates, guests and finance reports and propose changes for a person to approve; no hotel is connected today. ## What is in each plan The plans are Essentials, Autopilot and Portfolio.
